Selecting Office 365
The State of Kansas, in support of the Governor’s “Initiative 5: Consolidate Email Systems and Implement Uniform Approach to Mobile Device Management” empowered the Office of Information Technology Services (OITS) in replacing the current OITS on premise messaging and collaboration environment.
With the aid of several committees comprised of members from many Agencies and with the help of the Governors Cabinet Agencies, the state has selected Microsoft’s Office 365 for Government; an external, government only, cloud-based, Software as a Service (SaaS) messaging and collaboration environment.
Over the next few weeks, you will hear about efforts by your agency and OITS to migrate users from the on premise environment to Office 365.
This is to provide you with the awareness you need to prepare for a smooth transition onto the new technology, and to provide you with the right information to learn more about this offering. While these communication efforts will help ensure a smooth transition, those already using Outlook on your desktop can rest assured the look and feel of O365 from your current email will be much the same with little change.
Office 365 offers many free Microsoft applications including: Exchange calendar and email, messaging and collaboration, file sharing and content management, and online versions of Office applications. Additional/optional applications and other features are dependent on your organizations security needs.
What's the ONE thing to know?
We will be heading into a consolidated environment where every user will now have an “@ks.gov” email address. In order for everyone to have a unique email, we need to set a policy for naming conventions. Some of you already have FirstName.LastName@ks.gov... This likely won’t change, though it’s possible. Others have a shortened email name such as MSmith@... This will most certainly change. Your technical team is working hard to make sure there are no conflicts across the enterprise.
The corollary to an “@ks.gov” email address is the loss of any acronyms you may currently have in your email address, such as John.Public@da.ks.gov. Though you can continue to receive email at this address for some period of time, new outgoing email will be from John.Public@ks.gov.
